When accounting firms call us

What we automate for accounting firms
Document intake for tax season. AI reads incoming slips, receipts and statements, extracts the figures into a structured list and flags what is missing. The preparer checks each figure against the source. See document processing.
Bookkeeping review. AI suggests categories for bank and card transactions and flags unusual items. The bookkeeper confirms, and the CPA reviews the file.
CRA correspondence. AI summarizes each notice, lists the documents requested and drafts a response letter. The CPA decides the position and signs.

Tools depend on your stack: CaseWare, TaxCycle, Taxprep, QuickBooks Online or Xero, with Microsoft Copilot (formerly Microsoft 365 Copilot), Azure OpenAI or automation through Power Automate or n8n.
Professional and privacy rules that shape the work
CPA Code of Professional Conduct, Rule 208. Members and firms must not disclose confidential client information except in the circumstances the rule lists. They must not use it for their own or a third party's advantage. They must take appropriate measures to protect it and obtain the written agreement of anyone given access to preserve its confidentiality. For an AI project, the vendor contract, access controls and staff rules are settled before client files are used.
PIPEDA accountability for processors. Principle 4.1.3 keeps the firm responsible for personal information transferred to a third party for processing and requires contractual or other protection. The AI vendor is that third party.
Quebec Law 25. A privacy impact assessment is required for any project to acquire or develop an information system that handles personal information, and before information is communicated outside Québec. This matters for firms with Quebec clients using cloud AI tools. See AI compliance in Canada.
Ontario job postings. Since January 1, 2026, Ontario employers with 25 or more employees must disclose in public job postings whether AI is used to screen, assess or select applicants. It applies if the firm uses AI in hiring.
Where the data sits. Azure OpenAI Standard deployments in Canada East process prompts in Canada for some models, and OpenAI offers storage at rest in Canada for eligible customers. Vendor selection sets the options side by side.

How the work runs
The engagement follows the Remolda Cycle: Audit → Strategy → Implement → Empower → Evolve.
- Audit. Interviews with 6–10 people: partners, managers, preparers, bookkeepers and admin staff. We review workflows, volumes and software. Client files stay out of the audit.
- Strategy. Use cases ranked by staff hours, risk and client sensitivity, with the confidentiality steps each needs.
- Implement. A six-week pilot on one workflow, with sample or anonymized files until partners approve live use.
- Empower. Training for staff on reviewing AI output and on the firm's AI policy.
- Evolve. Results reviewed after the next busy period and the next workflow chosen.

Can an accounting firm use ChatGPT with client data?
Only with the right tool and terms. CPA Code Rule 208 prohibits disclosing confidential client information and requires appropriate measures to protect it, including a written confidentiality agreement from any person given access. A business plan with contractual terms, no training on your data and controlled access is the setup that fits.
What can AI do during tax season?
It can sort and read incoming slips, receipts and statements, pull the figures into a structured list for the preparer, flag missing documents and draft client reminder emails. The preparer and the reviewing CPA check every figure before filing.
Can AI answer CRA letters?
AI can summarize a CRA notice or review letter, list the documents requested and draft a response for the CPA. The CPA decides the position and signs what goes to the CRA.
