AI for Real Estate, Construction and Property Management in Canada
Remolda helps Canadian developers, builders and property managers use AI for bids, contract documents, FINTRAC records, tenant requests and lease data, within PIPEDA and provincial rules. The two-week AI Opportunity Audit costs $2,900 CAD + HST.
In short
- Real estate developers that sell to the public, and brokers and sales representatives, are FINTRAC reporting entities; receipt of funds records are kept at least five years.
- Ontario's Construction Act sets prompt payment deadlines, for example 28 days for an owner to pay a proper invoice; changes in force since January 1, 2026 make invoices deemed proper unless the owner objects within 7 days.
- Tenant data falls under PIPEDA, or under Quebec, BC or Alberta private-sector law; Ontario rules such as 24 hours' written notice of entry shape tenant communications.
- Packages: AI Readiness Review $490, AI Opportunity Audit $2,900, AI Pilot Sprint $9,800, all CAD + HST.
- Contract and invoice from Innova Consulting Group Inc., Ottawa; English or French.

Learn moreWhere AI helps in real estate and construction
The sector moves on documents: bid packages, contracts, invoices, leases, tenant requests and compliance records. Most of that work follows patterns AI can prepare for a person to check.
- Bids and specifications. Large bid packages summarized, scope items and deadlines extracted, and questions for the RFI log drafted.
- Contract administration. Change orders, RFIs and invoices logged with dates, so payment deadlines are visible. See workflow automation.
- Buyer files and FINTRAC records. Identity documents and deposit records extracted into the required records, with unusual patterns flagged for the compliance officer.
- Lease abstraction. Rent, renewal options and key clauses extracted from leases into a structured register, checked by staff. See document processing.
- Tenant requests. A service assistant that logs maintenance requests and answers routine questions, with anything legal handed to staff.
Which rules apply
Developers. A real estate developer that sells new buildings or units to the public in the volumes FINTRAC defines is a reporting entity, as are brokers and sales representatives. Receipt of funds records are kept for any amount, for at least five years. Buyer data is handled under PIPEDA or the provincial private-sector law.
Construction. Ontario's Construction Act sets prompt payment deadlines: an owner pays a proper invoice within 28 days, and a contractor pays subcontractors within 7 days of receiving payment. Since January 1, 2026, an invoice is deemed proper unless the owner objects within 7 days. The 2024 Ontario Building Code applies to permit applications from April 1, 2025. Since January 1, 2026, Ontario employers with 25 or more employees state in public job postings whether AI is used to screen, assess or select applicants.
Property management. Landlords follow PIPEDA or provincial privacy law; the federal commissioner's guidance limits what may be collected from applicants. In Ontario, the Residential Tenancies Act requires 24 hours' written notice of entry with a reason and a time window, and 90 days' written notice of a rent increase.
Our compliance work documents the data flow, and legacy integration connects AI to older property and accounting systems.

How the work runs
- Scope call with the owner or operations lead.
- Audit of one or two workflows and the systems behind them.
- Roadmap ranked by value, effort and compliance path.
- Pilot tested on your own past documents before live use.
- Handover with training and a runbook.
In our experience access to older property or accounting systems sets the pace more than the build; it depends on the systems you use.

Can AI handle FINTRAC compliance for a real estate developer?
AI can prepare the records: extract buyer identity details, build receipt of funds records and flag unusual payment patterns for review. The compliance officer decides on suspicious transaction reports and submits them, and records are kept at least five years.
Where does AI help a construction company first?
Usually in document-heavy steps: reading bid packages and specifications, logging RFIs and change orders, and tracking invoice dates against Construction Act deadlines. Site and safety decisions stay with the superintendent and the engineers.
Can an AI assistant answer tenants?
Yes, for routine questions and maintenance requests, with anything about lease terms, notices or disputes handed to staff. In Ontario, notices such as entry notices must meet the Residential Tenancies Act, so templates are reviewed before use.
What tenant data may AI process?
Only what the purpose needs. The federal privacy commissioner's guidance for landlords says a SIN is not required for a credit check and collection should be limited. The same limits apply to data an AI tool reads from applications.
How much does AI consulting cost for a real estate company?
Remolda's prices are public: $490 for a one-week readiness review, $2,900 for a two-week audit with a 12-month roadmap and $9,800 for a six-week pilot on one workflow, all CAD + HST.
