When construction companies call us
- Estimators read hundreds of pages for every bid. Specifications, drawings lists and addenda arrive late, and the scope summary is written by hand each time.
- RFIs and submittals live in email. Project managers keep their own logs, and answers get lost between the site and the office.

- Change orders lack backup. Photos, time sheets and correspondence are gathered after the fact.

What we automate for construction companies
Tender document review. Document processing reads the bid package and produces a scope summary, a list of submission requirements and deadlines, and changes introduced by each addendum. The estimator checks it against the drawings and decides the bid.
RFI and submittal logs. Email automation captures RFIs and submittals from project email into one log, drafts RFI text from the PM's notes and reminds reviewers of open items. The project manager approves each RFI before it goes out.
Payment and notice calendar. AI reads invoices, notices of non-payment and contract dates and fills a calendar with Construction Act deadlines. The controller or PM decides what to send and when.
Change order backup. AI assembles the correspondence, time sheets and site notes for each change into one package with a draft summary. The project manager prices and submits it.
Daily reports and safety paperwork. A workflow turns superintendents' dictated or typed notes into the company's daily report format and files it in the project folder or platform, such as Procore or Autodesk Construction Cloud. The superintendent reviews and signs.
Staff rules and training. A short AI use policy and training by team for estimators, PMs and site staff.
Rules that shape the work
Ontario Construction Act: prompt payment. An owner pays a proper invoice no later than 28 days after receiving it, unless it gives a notice of non-payment within 14 days. A contractor that receives payment pays each subcontractor within 7 days. When the owner has given notice, the contractor's own notice of non-payment is due within 7 days of receiving it. The calendar workflow tracks each of these dates.
Ontario Construction Act: changes in force January 1, 2026. An invoice is deemed proper unless the owner notifies the contractor in writing of the deficiency within 7 days. Accrued holdback is released after each contract anniversary, with a published notice and payment within the set window. An adjudication cannot start more than 90 days after the contract is completed, abandoned or terminated, unless the parties agree otherwise. The adjudicator decides within 30 days of receiving the required documents.
Ontario ESA: AI in job postings. Since January 1, 2026, employers with 25 or more employees must state in a publicly advertised job posting whether AI is used to screen, assess or select applicants. If an AI tool helps sort résumés for site or office roles, the posting says so.
Ontario Building Code. The 2024 Ontario Building Code adopts the National Building Code of Canada 2020 with Ontario amendments, and permit applications have used it since April 1, 2025. Checklists and prompts reference the current edition.

How the work runs
