What we automate for developers

FINTRAC client file preparation. Document processing reads ID documents and deposit records, fills the client identification and receipt of funds records and flags what is missing. Approval comment tracking. AI extracts each comment from municipal comment letters into one matrix, assigns it to the right consultant and drafts the response table from their input. Canadian rules that shape the work

FINTRAC and the PCMLTFA. A real estate developer becomes a reporting entity once it has sold to the public, in any calendar year after 2007, five or more new houses or condo units, one or more new commercial or industrial buildings, or new multi-unit residential buildings with five or more units. Reporting entities must run a compliance program, verify client identity, keep records and submit a suspicious transaction report "as soon as practicable" once reasonable grounds to suspect are established. When a developer hires an outside broker for sales to the public, FINTRAC places those obligations on the broker. AI prepares files and flags gaps; people make the determinations.

Cash and records. A large cash transaction report is due when you receive $10,000 or more in cash in a single transaction, within 15 calendar days. A receipt of funds record is kept for any amount received, for at least five years. These retention periods go into the design of any AI system that touches the files.

PIPEDA and provincial privacy laws. PIPEDA applies to private-sector organizations that collect, use or disclose personal information in commercial activity. Alberta, British Columbia and Quebec have their own substantially similar laws for activity inside those provinces. Buyer data sent to an AI tool needs a stated purpose, consent where consent is the legal authority, and safeguards.

Quebec Law 25 for Quebec projects. A privacy impact assessment is required for a new information system that handles personal information (section 3.3) and before personal information is communicated outside Quebec, including to a service provider (section 17). Cloud AI tools often trigger the second.

Ontario Building Code. The 2024 Ontario Building Code adopts the National Building Code of Canada 2020 with Ontario amendments, and permit applications have used it since April 1, 2025. Checklists and prompts for permit documents reference the current edition.
