What we automate for property managers

Leasing inquiry assistant. A customer service assistant answers questions about listed units from your approved listing data and building rules, offers viewing slots and passes serious inquiries to a leasing agent. The agent handles applications and decisions.

Maintenance intake and triage. Email automation reads requests from email, portal and text, classifies the issue and urgency, and drafts the work order in your system, such as Yardi or MRI. The property manager confirms emergencies and dispatches trades.

Lease abstraction. Document processing extracts rent, escalations, options, renewal and expiry dates and recovery terms from signed leases into a structured record. A lease administrator verifies each field before it goes into the system of record.

Canadian rules that shape the work

PIPEDA and OPC guidance for landlords. The OPC says landlords must comply with PIPEDA or a substantially similar provincial law. A landlord needs the applicant's consent to share information with a credit reporting agency, cannot require a SIN, and likely does not need to copy a driver's licence or pay stubs viewed to confirm identity or income. The OPC also treats informal checks, such as viewing an applicant's social media, as a collection of personal information. The intake flow collects the minimum and the assistant never searches applicants online.

Quebec: CAI guidance and Law 25. The CAI says a landlord may ask to see ID but may not copy or photograph it, and that name, address and date of birth are enough for a credit check. Law 25 section 12.1 requires disclosure when a decision is based exclusively on automated processing. Screening decisions stay with staff.

Ontario Residential Tenancies Act, 2006. A landlord may enter a unit with written notice given at least 24 hours in advance, stating the reason, the day and a time between 8 a.m. and 8 p.m. A rent increase needs at least 90 days' written notice. The notice drafts build in these checks.

Ontario standard lease. The standard lease is required for most residential tenancy agreements signed on or after April 30, 2018. Lease generation uses the standard form where it applies.

How the work runs

  1. Audit. A session with the operations lead, a property manager, a leasing agent and whoever runs the property management system. We review a month of inquiry and ticket types with tenant details removed.
  2. Strategy. The workflow design, what data the AI sees, where it is stored and which steps stay with staff.
  3. Implement. The six-week build connected to your property management system, email and phone channels.
  4. Empower. Training for leasing and maintenance staff and a short AI use policy.
  5. Evolve. A monthly review of answer quality and escalations for the first quarter, then the next workflow.
