Choose by fit with your tools and your most frequent task. Benchmark leadership changes every few months, so it is a weak basis for a team licence.

Each vendor has a small-team plan with admin controls and an enterprise plan sold through sales. Prices below were taken from the vendors' own pricing pages on September 27, 2026, in US dollars, before tax.

Google's figures are its regular per-user monthly prices in the one-year-commitment view of its US pricing page; new customers see introductory discounts. Prices change often. Check the pages linked under Sources before you buy.
Which is better for writing, analysis and brainstorming?
All three write, summarize and brainstorm well. The difference shows in where the work happens and how much context it needs.
- Brainstorming. Gemini works inside the Doc or email thread. ChatGPT and Claude keep a team's briefs, files and earlier ideas in shared projects. Running the same brief through two assistants gives a longer, more varied list.
- Long documents. Claude is often chosen for contracts, policies and reports because of its long-document workflow; its current models support a 1M-token context window through the API.
- Spreadsheets and data. Gemini works inside Sheets on Business Standard and above. ChatGPT and Claude analyze uploaded files and run code on them.
- Meetings. Gemini summarizes and takes notes in Meet on Business Standard and above. Microsoft 365 Copilot summarizes Teams meetings and suggests action items for licensed users.
- Coding and automation. Claude Code comes with Claude Team; Codex comes with ChatGPT Business.
Test on your own work. Pick five real tasks per team, run them in two assistants for two weeks and score the outputs.
Do Claude, ChatGPT and Gemini train on your business data?
On business plans, no, by default. The commitments are written on each vendor's privacy pages.

The risk sits with staff using free or personal accounts for work. An AI use policy for staff names the approved assistant and the data that may go into it.
Can your data stay in Canada?
Partly, and the options differ by vendor. As of September 2026:
- ChatGPT Enterprise and Edu: eligible customers can store data at rest in Canada. In-region processing is offered for Europe, the US and the UAE only.
- Claude: Anthropic's own API offers US or global processing. Through Amazon Bedrock in Canada (Central), logs and data at rest stay in Canada while inference runs in US Regions.
- Gemini in Google Workspace: data regions can be set to the United States or Europe on supported editions. Canada is not a listed choice.
- Microsoft 365 Copilot: Microsoft's April 2026 update says local processing for Canada should follow in 2027.
For Quebec organizations, Law 25 requires a privacy impact assessment before personal information goes outside Quebec, which covers any of these services.

- Which suite does the team live in: Google Workspace, Microsoft 365 or a mix?
- What are the three most frequent tasks: email, documents, analysis, meetings, code?
- Will staff paste personal information, and under which privacy rules?
- Who administers access, and is SSO required?
- What is the budget per seat per month?
